Client Background
The client is a distributor based in the Philippines whose downstream customers need to purchase a batch of
gear reducers. However, the client is not an expert in the field of gear reducers and is unfamiliar with specific
technical specifications and models; they can only provide photos of the equipment and the basic dimensions
of the two shafts (input shaft and output shaft).
Customer Pain Points and Challenges
Unclear Model Specifications: Customers are unable to provide accurate gearbox model numbers or complete
technical specifications.
Vague Requirements: Downstream customers lack clarity regarding customization requirements, particularly
regarding the specific specifications of the high-speed shaft
(e.g., keyway dimensions, tolerances, heat treatment requirements, etc.).
Communication Barriers: As distributors, customers lack the technical expertise to make informed
judgments on technical details, making it difficult for them to independently confirm all customization
requirements with end users.

1. Product Matching and Preliminary Confirmation
Based on the photos and shaft dimensions provided by the customer, we quickly identified the closest standard model.
We immediately compiled a detailed, illustrated document outlining the preliminary selection, the need for
customization, and any relevant technical details, and sent it to the customer for confirmation.
2.Close Collaboration to Clarify Customization Requirements
We proactively explain the differences between standard models and customized components to our clients in detail.
We provide comprehensive product manuals containing drawings, technical specifications, dimension tables,
and tolerance ranges for all standard models, which serve as a reference for both our clients and their end users.
We also assist clients in confirming final requirements with their end users and guide them on how to
communicate effectively with downstream customers to obtain accurate information.

3. End-to-End Detail Verification and Process Transparency
Upon receiving the end-user’s customization requirements, we list all customization points and relevant
details based on the final confirmed parameters and the reference data in the product manual, and ask the
customer to verify each item individually.
During the production phase, we provide regular progress updates and send photos of the actual products
to the client to ensure they are kept informed at all times.
Prior to shipment, we send the client the key data for the customized shafts in advance to ensure that all
specifications meet the confirmed technical requirements, thereby ensuring full traceability throughout the process.
When dealing with distributor clients who are not industry professionals, it is essential that we use detailed,
standardized product manuals as a common language for communication. By proactively transforming
complex technical data into user-friendly confirmation tools and tailoring them precisely to client needs,
we can effectively bridge information gaps and enhance collaborative efficiency. Even in the absence of
visual models, detailed specification confirmations presented in data-driven and textual formats,
combined with transparent production process tracking, can build strong trust and ensure
the successful delivery of custom projects.
